CYMAZ Music is a music charity based in Cornwall. We believe in the positive power of music to change lives and communities. We work with partners to build sustainable, high quality music making provision aimed to increase musical, personal and social outcomes for individuals and communities.

CYMAZ Music Functions:

CYMAZ Music staffing
CYMAZ music is managed by two Directors who are full time. There is a pool of around 12 music leaders who deliver CYMAZ Music activity across Cornwall. CYMAZ Music is governed by a Board of Trustees. There are currently 4 Trustees and CYMAZ Music is seeking to increase and strengthen Board membership.
CYMAZ Music funding
CYMAZ Music is a Youth Music grant recipient (http://www.youthmusic.org.uk/). We are currently delivering the Musical Inclusion programme in Cornwall and have just secured a two year grant for a vocal programme. We are a key strategic partner in the Cornwall Music Education Hub (http://www.cornwallmusiceducationhub.org/). CYMAZ Music is currently commissioned by the Hub to deliver several music projects. We are also in receipt of funding from Cornwall Council. We are always seeking new and diverse ways to increase our income and ensure our sustainability.

CYMAZ Project Administrator Role Description
To support the operational administration of the organisation
- Co-ordinating and supporting the administration of CYMAZ Music
- Update, maintain and backup relevant information/on line content management/ contacts/database
- To ensure admin and finance schedules are adhered to
- To co-ordinate and manage the working towards the transition into a paperless office
To co-ordinate the administration of CYMAZ Music projects
- Preparation and circulation of Partnership Agreements with settings
- Liaison with partners regarding any match funding arrangements
- Support the planning of start dates, times and venues for project activity
- Prepare contracts for music leaders, trainee music leaders or any other freelance workers
- Ensure that all paperwork is received from music leaders (including CRB/DBS, insurance details, Evaluation, proof of PAT testing etc)
Working with the Co-Directors and Board of Trustees to ensure CYMAZ Music activity is aligned with the CYMAZ Music Business plan
To contribute administrative support to the agreed CYMAZ Music Marketing Strategy
- Liaise regularly with CYMAZ Music Co-Directors on all aspects of the Marketing Strategy in line with the CYMAZ Music Business plan including branding, print and design, press coverage, website and social media updates
- Updating and populating CYMAZ Music Website, Populating CYMAZ Music Network, Youth Music Network and Social Media Sites, Tweeting
To service and participate in CYMAZ Music meetings (including Board of Trustees, Music leader Team meetings, CYMAZ Music Partner Network and other Network meetings/events as required)
- Book venues
- Liaise with Chair re preparation of agenda
- Prepare reports as required
- Circulate papers
- Take minutes
- Publicise meetings
To support the implementation of the Health & Safety, Safe Guarding and Equal Opportunities policies for the organisation and oversee their operation to ensure compliance with all statutory requirements
- Liaise with Safeguarding Children officer/ Co-Director to ensure all policies and procedures are up to date
- Support policy review process
- Ensure that policies and procedures are clearly laid out and accessible for CYMAZ Music workers and the public (where relevant)
- To review and update the CYMAZ Music staff handbook with staff and trustees
To contribute to the reporting process to the standards required by funders to include;financial monitoring and budget updates, statistical feedback and analysis
- Liaise with Co-Directors and all delivery partners to ensure timely receipt of all reporting information
- Update reporting templates in line with requirements from funding bodies
- Prepare reports alongside CYMAZ Music Co-Directors for approval by the Board of Trustees
To develop system and databases and be responsible for the maintenance thereof
- Maintain and update database of contacts
- Inputting data from CYMAZ Music activity into on line Monitoring and Evaluation tool ‘Views’
- Maintain records of project-related paperwork
- Liaise with Co-Director and nominated Finance Trustee to keep record of income and expenditure and purchase orders
To generate reports from statistical data
- Produce reports using on line Monitoring and Evaluation tool ‘ Views’
- Produce reports for Board of Trustees and CYMAZ Music Partners’ Network as required
To be the front line office of CYMAZ Music
- Deal with phone and email enquiries
- Deal with enquiries from potential partners, youth workers and parents and signpost to other organisations if applicable
To provide administrative and research support for the Co-Directors as required
